Assigning Gatekeepers to Projects

Gatekeepers are typically executives with the expertise and/or authority to decide whether to continue or stop a project. To assign gatekeepers within a project, a set of functions must be set for a gate within the process model. If a gate does not have gatekeeper functions defined in the model, you cannot add gatekeepers to the gate in the project.

At the project level, gatekeepers for each gate are assigned in one of the following ways:

  • Automatically through Function assignment - users assigned to a function on the project team are automatically assigned to every open gate that contains that function. Users within a gate in the process model are automatically assigned as gatekeepers with that function in the project.

Process Managers with Manage Process rights can replace the user assigned to a function (or assign one if one is not assigned) for the current and all future gates in the project by assigning a gatekeeper to a function on the Team page.

Gate owners can only add or change a gatekeeper on gates that they own. On the Team page, if a gate owner changes a gatekeeper for a function that exists in more than one gate, the gatekeeper is only changed in the gate owner's gates.

  • Manually Through Individual Gate Assignment - gate owners can select the gatekeeper for a function within the gates that they own. Process Managers with Manage Process rights can also set gatekeepers for each individual gate, even if an owner is assigned to the gate.

The gate configuration in the model may restrict the user selection to users with a matching function assignment.

The options and display order on the Team page may differ between projects, based on the process model configuration. The procedure below follows the default configuration.

To assign a gatekeeper to the current and future gates:

  1. Display a project and select the Team Team Page Icon page to display the current team members assigned to the project.

If necessary, select Detail View.

You can configure each section in the Team page to filter what displays, for example by stage or by function, and select which columns to view within each section. Save your selections to display each time you display the page.

  1. In the Gatekeepers section, for each function, do one of the following:
  • If a Gatekeeper is not assigned, click [None].
  • If a Gatekeeper is assigned, click the existing gatekeeper's name.
  1. In the Select a User dialog, select the gatekeeper from the list.
  1. Click Done to exit the dialog.
  2. Click Apply to save your changes.

To assign a gatekeeper to a single gate:

  1. Display a project and select the gate in the process model graphic to display the appropriate gate's details.
  2. In the Gatekeepers section, do one of the following:
  • If a Gatekeeper is not assigned, click [None].
  • If a Gatekeeper is assigned, click the existing gatekeeper's name.
  1. In the Select a User dialog, select the gatekeeper from the list.
  1. Click Done to exit the dialog.
  2. Click Apply to save your changes.

Notes:   

  • If the Enforce Project Security for Add Team Member system parameter is set 1, or the Enforce Project Security option is set for the project, only Executives who have access to the project through security definitions are available to add as gatekeepers. You cannot add a gatekeeper as an exception to their security rights.
